ClosIQ ("we", "us", "our") is a product of ICTECH Labs Company Limited, a company registered in Ho Chi Minh City, Vietnam. This policy explains how we collect, use, store, and protect your personal data when you use ClosIQ.

1. What We Collect

We collect the following data when you use ClosIQ:

Account data: Your name, email address, company name, and WhatsApp Business phone number.
Lead data: Names, phone numbers, email addresses, and conversation content of leads who message your WhatsApp number. This data is received via Meta's official WhatsApp Business Cloud API.
Usage data: How you interact with the ClosIQ dashboard — pages viewed, features used, timestamps.
Device data: Browser type, IP address, and operating system (for security and analytics).

2. How We Use Your Data

We use your data to:

Provide the ClosIQ service — auto-reply to leads, score leads, generate follow-up drafts, and send alerts.
Improve our AI scoring accuracy and reply quality.
Send you product updates and support communications.
Prevent fraud and ensure platform security.

We never sell your data to third parties. We do not use your lead conversations to train AI models for other customers.

3. WhatsApp Data

ClosIQ connects to your WhatsApp Business account via Meta's official Cloud API. We comply with Meta's Platform Terms and Business Data Processing Terms. Conversation data is transmitted securely via HTTPS and stored encrypted at rest.

We only access conversations on WhatsApp numbers you have explicitly connected to ClosIQ. We never access personal WhatsApp accounts.

4. Data Storage & Security

Cloud infrastructure: Your data is stored on secure cloud servers with encryption at rest and in transit (TLS 1.2+).
Access control: Only authorized ICTECH Labs personnel can access production data, and only for support and debugging purposes.
Authentication: All user accounts are protected by Supabase Auth with secure session management.
API tokens: WhatsApp access tokens are encrypted using AES-256 before storage.

5. Data Retention

Account data: Retained for the duration of your account. Deleted within 30 days of account closure.
Lead data: Retained for 12 months from last activity. Leads inactive for 12+ months are automatically purged.
Conversation data: Retained for 90 days for AI scoring and follow-up purposes. Older messages are deleted.

6. Your Rights

Under the Singapore Personal Data Protection Act (PDPA) and Malaysia's PDPA, you have the right to:

Access your personal data held by ClosIQ.
Correct any inaccurate data.
Delete your account and all associated data.
Withdraw consent for data processing at any time.
Port your data — export your leads as CSV at any time from the dashboard.

7. Cookies

ClosIQ uses essential cookies for authentication and session management only. We do not use tracking cookies or third-party advertising cookies.

8. Third-Party Services

We use the following third-party services:

Meta (WhatsApp Cloud API) — for WhatsApp messaging.
Supabase — for database and authentication.
OpenAI / Google Gemini — for AI-powered lead scoring and draft generation. Lead data sent to AI providers is processed in accordance with their enterprise data processing agreements and is not used to train their models.
Resend — for transactional email notifications.

9. Children

ClosIQ is a B2B product designed for business professionals. We do not knowingly collect data from anyone under the age of 18.

10. Changes to This Policy

We may update this policy from time to time. We will notify you of material changes via email or in-app notification at least 14 days before they take effect.
